Salary up to £34,000 DOE (plus car allowance)

It is a very exciting time for my client, a rapidly expanding and highly regarded UK national managing agent. The company is privately owned and committed to training and development of each and every employee. The position would suit someone with substantial experience of block property management, looking to move away from that into a more client-facing role.

The ideal candidate will be responsible for the handing over of new developments from the New Business function into the company's management ensuring a seamless transition. They will work closely with the New Business department and Property department and play a pivotal role in engaging and retaining clients. The role is suitable for someone with experience in this field and would need to possess excellent communication skills, be able to work to tight deadlines, be self-motivated with strong administrative skills, and have strong key stakeholder management experience and organisational skills.

Responsibilities and Duties

This role reports to the Head of Key Client Management

Key Responsibilities

  • To undertake the handover of developments from New Business Managers to Property Managers ensuring that the client experience is exemplary
  • Educate Developer to efficient handover standards
  • Provide informative handover reports to developers
  • Liaise with sales staff/Developer admin teams regarding queries for potential customers
  • To produce the Handover confirmation email to Setup along with all relevant documentation
  • Introduce the company to new customers


Areas of Responsibility

  • Manage their own pipeline of forthcoming business through the Proposal/ Submitted Spreadsheet
  • Maintain and develop all new and existing client business relationships
  • Arrange appointments with developers on site to review newly built communal areas
  • To communicate with specific contacts within each developer to ensure all information/documentation has been provided to carry out a successful handover
  • Complete a handover report and send to the developer to complete the snags/defects
  • Dealing with enquiries/queries and take a pro-active approach to foresee and resolve any challenges
  • Updating and managing CRM and appropriate reports, keeping relevant departments informed regarding committed checklists, and service charge amendment forms etc
  • Complete all Handover Confirmation documentation in readiness to send to the Setup team
  • Update and save developer correspondence
  • Propman updates (clients, activities, proposals submitted/committed)
  • Dealing with handover from RMCs, collating information from previous agent and passing to relevant departments
  • Providing information to RMCs on our services prior to them requesting a proposal
  • Ensure that the Trinity Estates reputation is protected at all times

Skills & Knowledge

  • Extensive knowledge of legislation regarding property management
  • Strong customer service focus and a genuine desire to deliver an excellent experience
  • Advanced IT skills (word-processing and spreadsheets)
  • Industry specific packages (e.g. Propman)
  • The ability to communicate effectively with colleagues, the public, stakeholders and industry professionals
  • A presentable, professional and approachable manner which sets an example for others to follow

Experience

  • Customer Service experience from either a corporate, public sector or private practice
  • Substantial knowledge of Property Management

  • Identifies opportunities within the market and creates a strategy to maximise income streams
